Legal Document Booking Terms Programme Rules Governing Law: China

Section 01

Introduction & Acceptance of Terms

These Terms and Conditions govern the relationship between China Business Travel ("we", "us", "our") and any individual, organisation or institution ("you", "the client") who books or participates in any business trip, factory tour, sourcing, trade show or corporate MICE programme operated by China Business Travel. By making a booking or payment, you confirm that you have read, understood and agree to be bound by these Terms and Conditions in their entirety. If you do not agree to these terms, you must not proceed with a booking.

China Business Travel is an international corporate business travel & supplier sourcing service provider founded in 2024, with 13+ years of core industry experience within our team. We provide full-service factory visits, supplier verification, trade show tours, corporate meetings, incentive travel and corporate event solutions for global enterprises, procurement teams and executive delegations.

Section 03

Booking & Confirmation

A booking is confirmed only when China Business Travel has received the required deposit payment and issued a written booking confirmation. Until a written confirmation is issued, no booking exists and no factory visit, trade show or corporate programme slots are held. All bookings are subject to factory, venue and resource availability.

  • All bookings must be made in writing by email or through our official website enquiry form
  • A formal booking confirmation will be issued within 3 business days of deposit receipt
  • It is your full responsibility to verify all itinerary, factory and participant details and notify us of any errors within 48 hours after confirmation is sent
  • Full names, job titles and corporate information of all delegates must be submitted at booking stage

China Business Travel reserves the absolute right to decline any booking without disclosing a reason at our sole discretion.

Section 04

Pricing & What Is Included

All service and programme prices are quoted in US Dollars (USD) unless a separate written currency agreement is signed by both parties. Prices are fixed once a booking confirmation is issued, except for extreme exchange rate volatility or mandatory government levies outside our control.

Standard programme inclusions:

  • All ground transportation within China per confirmed itinerary
  • Classed hotel accommodation matched to your corporate programme tier
  • All scheduled meals listed in your custom itinerary
  • Industry-specialised bilingual business escorts (not basic translators)
  • Factory entry fees, exhibition tickets, venue rental and site access costs as agreed
  • Pre-trip briefing materials & post-program visit report for sourcing/delegation clients

Items NOT covered by quoted pricing:

  • International round-trip flights to / from China
  • Chinese visa application fees & paperwork costs
  • Travel medical & cancellation insurance (strongly recommended for all delegates)
  • Personal spending, gratuities and optional unplanned activities
  • Private medical treatment, emergency hospital bills and illness-related expenses

Section 05

Payment Terms

All bookings are governed by our official Payment Policy, which forms a binding part of these Terms and Conditions. Core payment rules are outlined below:

  • Non-refundable deposit of 25–50% of total programme cost required to lock factory & venue slots
  • Full outstanding balance due 30–60 days prior to programme start date, based on trip length
  • All payments accepted via international SWIFT bank transfer only
  • All bank transfer transaction fees borne entirely by the paying client
  • Failure to settle full payment by deadline may lead to automatic booking cancellation with deposit forfeited

Section 06

Itinerary Changes & Substitutions

China Business Travel reserves the right to adjust itineraries when forced by external uncontrollable factors such as factory shutdowns, exhibition schedule changes, national regulations or severe weather.

  • Minor adjustments (transport order, dining locations, route tweaks) may be implemented without prior notice
  • Major programme revisions will be notified to clients at the earliest possible moment
  • Unavailable factories / venues will be replaced with equivalent matching industry alternatives
  • If a substantial change cannot be accepted by you, full refund of all paid funds will be processed

Section 07

Participant & Client Responsibilities

All corporate delegates and booking clients hold full responsibility for meeting all entry and travel requirements for China:

  • Valid passport with minimum 6 months remaining validity after programme end date
  • Secure correct business visa or confirm visa exemption eligibility before travel
  • Purchase comprehensive travel insurance covering medical care, trip cancellation and third-party liability
  • Disclose all pre-existing medical conditions, dietary or accessibility requirements during booking
  • Respect Chinese local laws, business customs and factory site rules at all times
  • Follow all guidance from our industry escorts and on-site project staff
  • Refrain from conduct that harms the reputation of China Business Travel or partner factories

China Business Travel reserves the right to remove any disruptive, disrespectful or unsafe delegate from the programme with zero refund entitlement.

Section 08

Health & Safety

Delegate safety is our primary priority. China Business Travel implements all standard risk mitigation procedures for factory visits, exhibitions and corporate events, however:

  • All delegates travel under their own personal risk and must hold valid travel insurance
  • China Business Travel accepts no liability for illness, injury or fatality during any programme
  • All pre-existing health conditions must be declared before booking for emergency planning
  • We reserve authority to arrange emergency medical care for delegates and recover associated costs from the client
  • All factory, exhibition and venue health & safety protocols must be fully complied with

Section 09

Photography & Confidential Materials

Each manufacturing plant and exhibition venue enforces unique photo & filming restrictions. All delegates must comply fully with on-site media rules. China Business Travel may capture programme photos/videos for corporate marketing use; notify us in writing pre-trip if you opt out of being featured.

  • Factory production lines, proprietary equipment and technical data often prohibit photography
  • Confidential supplier and manufacturing data cannot be shared or published externally
  • All intellectual property belonging to host manufacturers remains their exclusive property

Section 10

No Retail Shopping Commissions Policy

China Business Travel maintains a strict zero-commission shopping policy across all factory sourcing, trade show and corporate programmes. We never include unplanned retail shopping stops and receive no rebates from retail vendors. Every minute of your custom itinerary is allocated to your core business objectives: factory audits, supplier meetings, exhibition visits and corporate conferences.

If any of our escorts or staff directs you to unauthorised retail venues without prior written agreement, report us immediately at info@business-trip-to-china.com

Section 11

Confidentiality Agreements

During factory tours, supplier audits and corporate roundtables, delegates may access commercially sensitive manufacturing and supply chain data. All clients and delegates agree to the following rules:

  • Treat all undisclosed factory technical & pricing data as fully confidential
  • No reproduction, publication or external sharing of confidential information without factory written approval
  • Sign site NDAs required by manufacturing partners before entry
  • All data obtained may only be used for your internal corporate procurement & business analysis

Section 12

Force Majeure

China Business Travel bears no liability for delayed or unfulfilled service obligations caused by uncontrollable external events:

  • Natural disasters, pandemic outbreaks and national public health restrictions
  • War, civil unrest, terrorist activity and political travel bans
  • Government policy changes, border entry restrictions & visa suspensions
  • National transport strikes, infrastructure breakdowns & supply chain shutdowns
  • Dangerous extreme weather preventing factory/exhibition travel

Under force majeure scenarios, we will prioritise alternative programme dates or service credit; full refunds will be reviewed on an individual case basis.

Section 13

Limitation of Liability

Within the full scope of applicable PRC commercial law, the total maximum liability of China Business Travel to any client or delegate is capped at the total programme fees fully paid by that client. We shall not be liable for indirect, lost profit, consequential or punitive damages arising from any business trip, sourcing audit or corporate event service.

Section 14

Intellectual Property

All website content, corporate branding (Zhao seal logo), custom itineraries, factory guide documents, marketing imagery and service copy are the exclusive intellectual property of China Business Travel. No reproduction, commercial distribution or unauthorised reuse is permitted without our formal written consent.

Privacy & Data Protection

China Business Travel processes all client personal data in compliance with our official Privacy Policy. By submitting a booking request and completing payment, you consent to our data collection and usage practices detailed at www.business-trip-to-china.com/privacy-policy

Section 16

Amendments to These Terms

China Business Travel reserves the right to revise these Terms & Conditions at any time. The latest active version will always be hosted on our official website. Your continued use of our business travel services constitutes acceptance of updated clauses. For fully confirmed existing bookings, the terms effective at booking will remain binding for that programme.

Section 17

Governing Law & Disputes

These Terms and Conditions are governed and interpreted under the laws of the People's Republic of China. All disputes arising from booking, factory tours, sourcing or corporate event services fall under the exclusive jurisdiction of Shanghai municipal courts. We will prioritise amicable negotiation before formal legal proceedings are initiated.
